Microsoft 365 Backup for Quebec Businesses

A copy of your mail, files and Teams data that lives outside your tenant, so one bad click or one compromised admin account cannot take it all.

    Why back up Microsoft 365

Microsoft keeps the service running. Your data is on you.

Microsoft runs a highly available service, but it does not promise to bring back whatever your users delete, overwrite or encrypt. The recycle bin and retention policies are soft-delete and compliance tools. They live inside the same tenant, behind the same admin accounts an attacker would target.

A real backup is a separate copy that survives a tenant-level compromise. For most Quebec SMBs without in-house IT, we recommend a third-party copy such as Dropsuite, now part of NinjaOne. That is how we run backup for our clients, and someone checks it every week.

Backing up servers and PCs too? Our backup and disaster recovery service covers the rest of your environment.

    You need this if:

    • Your only copy of company email and files is inside Microsoft 365
    • You keep records for years, like the six years Revenu Québec generally expects
    • Departing employees' mailboxes disappear along with their licence
    • Your cyber insurer asks how you would recover from ransomware
    • You want a copy kept outside your tenant, with storage in Canada
    What we protect

    Every Microsoft 365 workload, covered

    Exchange Online

Mailboxes, shared mailboxes, calendars and contacts, with email backed up every two hours.

    OneDrive

Every user's OneDrive files, backed up daily and kept for as long as you choose.

    SharePoint and Teams

Sites, libraries and lists backed up several times a day, plus Teams channel messages and files.

    Flexible restores

A single email, a file, a mailbox or a full site, restored to the original or another location, with PST export when needed.

    Choosing a backup

    Microsoft 365 Backup or a third-party copy?

Microsoft now sells its own Microsoft 365 Backup, billed by the gigabyte. It restores quickly, but it covers only Exchange, OneDrive and SharePoint, keeps restore points for up to two years, and stores the copies inside Microsoft 365 itself.

A third-party service like Dropsuite also covers Teams channels, keeps data as long as you need, and stores it outside your tenant, with a Canadian data centre available. That combination is why we recommend it for most small businesses. Larger tenants sometimes run both.

    • Microsoft 365 Backup: Exchange, OneDrive, SharePoint, up to 2 years
    • Dropsuite: adds Teams channels, retention as long as you choose
    • Dropsuite: copy held outside your tenant, Canadian data centre available
    • Both: restores to the same or a different location
    Ransomware and compliance

Backups that hold up when it counts

Attackers who get into Microsoft 365 often go after the data itself. If someone controls an admin account, anything stored inside the tenant can be deleted from inside the tenant. A copy held by a separate service, under separate credentials, is what lets you restore.

Retention matters for compliance too. Revenu Québec generally expects business records to be kept for six years, and Law 25 expects personal information to be kept only as long as it is needed. We set retention to match both and document it for your Law 25 file.

    How it works

    Getting your backup in place

    01

    Scope

We list the mailboxes, shared mailboxes, sites and teams to protect, and agree how long each type of data must be kept.

    02

    Setup

The backup service is connected to your tenant, the storage region is chosen, and the first full copy runs.

    03

    Verification

We confirm every workload is covered and walk you through how a restore request works.

    04

    Weekly checks

Backup jobs are checked every week, and failures are fixed before they turn into gaps.

Backup is quoted with your other services, separately from Microsoft licences. Already on our managed IT plan? Ask us to add it to your quote.

Is your Microsoft 365 data really backed up?

Tell us how many users you have and how long you need to keep data, and we will quote a backup that fits.

    FAQ

    Frequently Asked Questions

Doesn't Microsoft already back up Microsoft 365?

Microsoft keeps the service available and offers soft-delete and retention tools, but those live inside your tenant. They do not protect you from an attacker with admin access, a sync error that overwrites files, or deletions discovered months later. A separate backup does.

What is the difference between Microsoft 365 Backup and Dropsuite?

Microsoft 365 Backup covers Exchange, OneDrive and SharePoint, keeps restore points for up to two years and stores them inside Microsoft 365. Dropsuite also covers Teams channels, keeps data as long as you choose and stores it outside your tenant, with a Canadian data centre available.

Can the backup be stored in Canada?

Yes. Dropsuite offers a Canadian data centre, which keeps the copy in Canada and simplifies your Law 25 documentation. For Quebec businesses, that is what we recommend.

    Are Teams chats backed up?

Teams channel messages and files are covered. Private one-to-one chats need Dropsuite's Backup and Archiving plan, which can be enabled if you need them.

    How long are backups kept?

As long as your obligations require. Revenu Québec generally expects six years for business records, and data can be kept longer where needed. Microsoft's own Microsoft 365 Backup tops out at two years.

Can you restore a single email or file?

Yes. A single message, a folder, a full mailbox, one file or an entire site can be restored to the original location or a different one, and mail can be exported to PST if you need a copy.
