Microsoft 365 Copilot Readiness

Copilot finds everything a user is allowed to open. We make sure that list is the right one before you switch it on.

    Plan your Copilot rollout

    All Microsoft 365 services

    Before you buy

Copilot respects permissions. That is the problem.

Copilot does not bypass Microsoft 365 permissions. It respects them exactly. If a payroll spreadsheet is shared with everyone in the company, Copilot will summarize it for anyone who asks.

Most small business tenants we assess carry years of oversharing: sites shared with the whole company, anonymous links that never expired, guests who left long ago. None of it mattered much while finding a file took effort. Copilot removes the effort.

Our readiness work fixes the exposure first, then puts Copilot in front of a small pilot group so you can measure the value before you pay for every seat.

    Plan a readiness project if:

    • You are considering Copilot Business or a Copilot bundle
    • Files have been shared freely for years with no regular review
    • HR, payroll or client files live in SharePoint, OneDrive or Teams
    • You handle personal information covered by Law 25
    • You want proof Copilot saves time before licensing everyone
    What we do

Four steps to a safe Copilot rollout

    Permissions review

SharePoint and OneDrive sharing reports, expired and anonymous links removed, and sites shared with company-wide groups re-scoped.

    Sensitivity labels

Labels on HR, payroll and client files so the most sensitive content stays protected wherever it travels.

    Pilot group

Five to ten users, chosen across roles, working with Copilot for 30 days on clear use cases.

    Measuring value

Time saved and adoption tracked over 60 days before you decide whether to expand.

    Licensing

Which Copilot option fits a small business?

Copilot Business is an add-on for organizations of up to 300 users, and it needs an eligible Microsoft 365 business plan underneath. Since July 1, 2026, Microsoft also sells Business Standard and Business Premium with Copilot as permanent bundles. Free Copilot Chat is already included in business plans, and it is often the right first step.

Billing is changing too. From December 1, 2026, new Copilot Business licences bought through a CSP partner have usage-based billing switched on by default, capped at 4,000 Copilot Credits per user per month unless an admin changes it. We set those controls during rollout so there are no surprises. Prices and promotions move often, so our licensing service quotes the current figures for your mix of users.

    • Free Copilot Chat: included in business plans
    • Copilot Business: add-on for up to 300 users
    • Business Standard or Premium with Copilot: permanent bundles
    • French (Canada) supported as its own language
    Privacy

    Copilot and Law 25

Copilot output built on personal information is still personal information under Law 25. The same rules apply to a summary as to the file it came from: who can see it, how long it is kept, and what happens if it leaks.

For Canadian tenants, Copilot prompts, responses and the semantic index are stored at rest in Microsoft's Canada geography, and Microsoft expects in-country processing for Canada in 2027. We document this for your privacy file and line up labels and retention with your Law 25 controls.

    How it works

From exposed tenant to measured pilot

    01

    Exposure scan

We map what is shared too widely: company-wide sites, anonymous links, stale guests and unlabelled sensitive files.

    02

    Clean-up

Permissions are tightened in stages with the people who own the content, so nobody loses access they need.

    03

    Pilot

A small group gets Copilot for 30 days, with use cases tied to their actual work and a short training session.

    04

    Decision

After 60 days of measurement, you get a recommendation to expand, adjust or wait, with the licence cost of each option.

Readiness work is quoted as a project, separate from any managed plan. The clean-up pays off even without Copilot: less oversharing means less exposure if an account is ever compromised.

    FAQ

    Frequently Asked Questions

Will Copilot show employees files they should not see?

Copilot only shows content a user already has permission to open. The risk is that most tenants grant far more access than anyone intended. Readiness work fixes those permissions before Copilot makes them easy to find.

Which Copilot plan should a small business choose?

Start with the free Copilot Chat included in business plans. For Copilot inside Outlook, Teams, Word and Excel, Copilot Business is available as an add-on for up to 300 users, or bundled with Business Standard or Premium. We recommend licensing a pilot group first.

    Does Copilot work in French?

Yes. Copilot supports about 50 languages, and French (Canada) is listed as its own language.

Where is Copilot data stored for Canadian businesses?

For Canadian tenants, prompts, responses and the semantic index are stored at rest in Microsoft's Canada geography. Microsoft expects in-country processing for Canada in 2027.

How long does a Copilot readiness project take?

It depends on how much has been shared over the years. The pilot itself runs 30 days, and we measure results over 60 days before recommending a wider rollout.

Do we need Business Premium for Copilot?

No. Copilot Business works with eligible business plans, including Business Standard. Premium helps, though: its sensitivity labels and data loss prevention are the tools that keep sensitive files out of Copilot's answers.
